How to write a newsletter?

Newsletters are extremely useful and cost effective means of providing valuable information to your customers and in a sense built better and loyal relationships. So here are some hard core tips on how to write a newsletter

1.) Find objective of the newsletter

Based on your objective you can include everything from company events, new product/service launches, staff left and staff joined, any changes in the organization website, introduction of new facilities, new company policies, press releases and any other information that you thing might benefit the target customer.

2.) Keep content to the point

Content is the king as far as newsletters are concerned and should be kept to the point. A lengthy newsletter is in no way effective as compared to a compact newsletter with sharp points.

3.) Always be Low on graphics

A good newsletter does not have unnecessary tidbits, graphics or designer content that make the newsletter not only hard to read but also hard to download.

4.) Provide tactical Linking

Provide links at the right places and most importantly make sure that your links work and are not broken. Most big articles can be cut short by providing connecting links. This way the newsletter is short making it easy to browse.

5.) Maintain a personal appeal

You may send the same newsletter to thousands of customers but the key point is to maintain a personal touch through out the newsletter which makes the reader feel that the newsletter is intended only for him/her. 6.) Highlight Features than Benefits

7.) Give a catchy subject line

Here's where the cookie crumbles. The subject line may consist of a few words but plays the most important role and decides if the person will actually open the mail or not! So while deciding on the subject like keep the following points in view;

  • Always make sure to keep the subject line short. Keep it less than 5 words

  • Never use all caps

  • Keep it in tune with the content inside

  • Never make it look impersonal if not personal

  • Add a personal touch if possible. E.g.: Mentioning names

  • Try asking a question. Questions are more engaging than statements

  • Never give it a marketing mail sound

  • Never use 'YOU'. Making use of 'You' in the subject line can make it look like spam

  • Oops! Never use exclamation marks in a subject line

8.) Provide functional opt outs

Always provide proper opt out options along with a newsletter and make sure it is functional. And when a customer decides to opt out better stop sending him any further newsletters.

9.) Maintain specific Frequency and time

Decide on a specific frequency and time of delivery for your newsletter and stick to it. The duration should be such that you are not forgotten at the same time you should not be overdoing it.

10.) Check before sending

Always test the newsletter for spelling mistakes, grammatical errors, working links, opt out functionality, email size among others before sending.
